Events Coordinator

The Events Coordinator provides broad support for LWP events, including event logistics, rentals and contracts, working with volunteer committees, invitations and programs, decorations, seating, signage, as well as soliciting and coordinating silent and live auctions. LWP key events include our annual Storybook Gala; Royal Ball; Noticed Campaign; and March for Babies Walk.

The Events Coordinator must have excellent verbal and written communications skills and a deep understanding of donor-centered communications. The Events Coordinator must also be able to balance multiple projects and meet deadlines while exuding a positive attitude. The Events Coordinator must be able to work independently as well as be a team player willing to help wherever is needed.

While the Events Coordinator position only requires a minimum of 10 volunteer hours per week, it should be understood that specific events may require more than 20 hours per week and a flexible schedule.

Job Duties

  • Meet with LWP team to plan the event and establish a budget.
  • Plan and manage the logistics of an event, including venue, guests, programs, catering, and marketing.
  • Track event expenses and review accuracy of invoices.
  • Communicate volunteer needs for events and collaborate with the Volunteer Coordinator.
  • Work with the Volunteer Coordinator on managing volunteers, staff, and others with event set up and day-of operations.
  • Solicit and manage silent and live auctions: solicit donations, create packages, develop minimum bids and create bid sheets, acknowledge and recognize donors, track items, produce needed reports and paperwork, work with a volunteer committee.
  • Supervise the set-up, running, and break down of the event, identifying and resolving problems.

Executive Director

The Executive Director is the key management leader for Little Warrior Princesses. The Executive Director is responsible for overseeing the administration, programs and strategic plan of the organization. Other duties include fundraising, marketing and community outreach. The position reports directly to the Board of Directors.

Job Duties

  • Planning and operation of annual budget.
  • Establishing employment and administrative policies and procedures for all functions and for the day-to-day operation of the nonprofit.
  • Serving as Little Warrior Princesses' primary spokesperson to the organization’s constituents, the media and the general public.
  • Establish and maintain relationships with various organizations throughout the state and utilize those relationships to strategically enhance Little Warrior Princesses' Mission.
  • Report to and work closely with the Board of Directors to seek their involvement in policy decisions, fundraising and to increase the overall visibility of the organization throughout the State.
  • Supervise, collaborate with organization staff.
  • Strategic planning and implementation.
  • Oversee organization Board and committee meetings.
  • Oversee marketing and other communications efforts.
  • Review and approve contracts for services.
  • Other duties as assigned by the Board of Directors.

Treasurer

The Treasurer is elected at the annual meeting of LWP to hold office for a one-year term, or until a successor is elected and qualified, and is eligible for re-election for one additional consecutive one-year term.

Requirements

  1. Financial knowledge of the organization.
  2. Personal commitment to devote the time necessary to perform the responsibilities of Treasurer.
  3. Understanding of financial accounting for nonprofit organizations.

Responsibilities

  • Serves as Chair of the Finance Committee.
  • Manages, with the Finance Committee, the Board’s review of, and action related to, the Board’s financial responsibilities.
  • Works with the Executive Director and finance manager to ensure that appropriate financial reports are made available to the Board on a timely basis.
  • Assists the Executive Director and financial manager in preparing the annual budget, and presenting the budget to the Board for approval.
  • Works with the Finance Committee and the Executive Director to develop Fiscal Policies for recommendation to the Board to ensure the financial integrity and sustainability of the organization.
  • Works with the Finance Committee and the Executive Director to develop long-term financial strategies.
  • Keeps currently informed of legal, regulatory and sector developments relating to the Board’s financial responsibilities.

Volunteer Coordinator

The Volunteer Coordinator is responsible for recruiting and managing individual volunteers for the organization, as well as groups of volunteers. This individual must have strong communication and management skills. The Volunteer Coordinator position requires a minimum of 10 volunteer hours per week.

  • Interview volunteer applicants
  • Establish orientation, training and background check standards for volunteer positions
  • Coordinate all background checks for volunteers
  • Coordinate hospital gift card deliveries
  • Manage Hospital Gift Card Delivery Shared Google Docs Spreadsheet
  • Establish, build and maintain relationships with all hospital staff and personnel for all area NICUs
  • Set up and maintain a database of all hospital social workers, NICU Directors for all area NICUs
  • Coordinate and schedule volunteers on an ongoing basis or organize single events
  • Set-up a database to track volunteers, their interests and availability
  • Keep existing volunteers informed of future volunteerism opportunities via newsletters or other communications (ie. Facebook, email)
  • Manage LWP Members & Volunteer Group Facebook Page
  • Conduct informational sessions prior to volunteer events
  • Supervise all volunteers at events
  • Conduct outreach initiatives to expand volunteerism for LWP
  • Prepare status reports as specified by the Executive Director
  • Attend meetings as directed by the Executive Director
